How mail scanning works

Updated 27 October 2026

Mail scanning turns your business address into a virtual mailbox. Your letters arrive at a real street address in Preston VIC 3072, and you deal with them from your phone, wherever you are.

Step by step

  1. Mail arrives with your suite number. “Suite NNNNN” is your mailbox reference, not a room. It’s how we match each letter to you.
  2. We photograph the envelope. Every item is logged and photographed the day it arrives, and you get an alert. You see the sender and the front of the envelope, not the contents.
  3. You choose what happens next. From your dashboard: scan, shred, forward or collect. Or leave it for now.
  4. We do it. Scans come back as a PDF in your dashboard, with an alert when it’s ready.

The four choices

ChoiceWhat happens
ScanWe open it and scan the contents to a multi-page PDF. The original is held, then shredded unless you ask us to forward it or you collect it.
ShredUnopened, into a locked console. A certified vendor destroys it. Free on every plan.
ForwardWe weigh it and send you a postage quote. Approve it and we post it with tracking.
CollectPick it up from our Preston mail point, Mon–Fri, 9am–5pm. Bring photo ID; we record who collects each item.

How many scans are included, and what forwarding costs, depends on your plan. Business Address includes a monthly allowance of scans; Pro and Nameplate include unlimited scans (fair use) and forwarding with postage at cost. See pricing.

How fast

Scan requests made before 2pm on a business day are usually done the same day. Many people scan anything from ASIC, the ATO or a court straight away. You can set a rule so that kind of mail is scanned as soon as it arrives.

Who sees your mail

  • We only open what you ask us to scan.
  • Only trained staff handle mail, under a confidentiality undertaking.
  • Your envelope photos and scans are encrypted and stored in Australia.

How long we keep things

ItemHow long
Letters you haven't actioned60 days (reminder at day 45), then shredded
Originals after scanning30 days, then shredded unless you ask to forward or collect
Envelope photos and scans12 months in your dashboard

Download anything you need to keep longer, or share it with your accountant.

Letters only, no parcels

We handle letters and documents up to Australia Post’s large-letter size (260 × 360 × 20 mm, 500 g), including Registered Post and Express Post envelopes. Parcels are refused and go back to the sender. Some items can’t be accepted at all; see our acceptable use policy.

Mail scanning or mail redirection?

Australia Post redirection forwards your mail to another address for a set period, but you still have to be there to open it. Scanning lets you see it from anywhere, at an address that doesn’t change. Compare them: mail redirection vs a business address.

Questions

Do you open all my mail?

No. We photograph the outside of every envelope and only open what you ask us to scan. Everything else stays sealed until you choose shred, forward or collect.

Can I have some mail scanned automatically?

Yes. You can set a rule to scan certain mail, such as government letters, as soon as it arrives.

How does mail forwarding work?

Choose Forward on an item. We weigh it and send you a postage quote. Once you approve it, we post it with tracking.

What happens to mail I don't action?

Unopened letters are held for 60 days, with a reminder at day 45, then securely shredded.
